REQUEST FOR QUOTATION (RFQ) SPECIFICATION FOR OLIFANTSFONTEIN PRIMARY SCHOOL
Pest Control Services – 12 Months Contract
1. Background
The school requires a professional and accredited pest control service provider to manage and control pests within the school premises. The services are required to ensure a safe, healthy, and hygienic learning environment for learners, staff, and visitors.
2. Scope of Work
The service provider will be responsible for the monthly inspection, treatment, and monitoring of the school facilities to prevent and control the following pests:
- Rats and mice (rodents)
- Cockroaches
- Flies
- Ants
- Mosquitoes
- Other common crawling and flying insects
3. Service Areas
The pest control services must cover, but are not limited to:
- Classrooms
- Administration offices
- Staff rooms
- Kitchens and food preparation areas
- Dining halls / canteens
- Storerooms and waste disposal areas
- Ablution facilities
- Sports facilities and halls
- External perimeter of the school buildings
4. Service Requirements
- Monthly inspections and treatment of all specified areas.
- Immediate response for emergency infestations when reported.
- Use of safe, environmentally friendly, and SABS-approved chemicals suitable for use in educational facilities.
- Placement and monitoring of bait stations and traps where applicable.
- Record keeping of all chemicals used and treatments performed.
- Pest activity reports submitted after each service visit.
- Recommendations for preventive measures and corrective action plans.
5. Compliance
- Service provider must comply with the Occupational Health and Safety Act and applicable environmental legislation.
- Technicians must be trained and registered with the Pest Control Industry regulatory body (e.g., SAPCA).
- Provide Material Safety Data Sheets (MSDS) for all chemicals used.
6. Contract Period
The contract will be for an initial period of 12 months, renewable based on performance and service quality.
7. Deliverables
- Monthly pest control service reports.
- Emergency call-out support within 24 hours when required.
- Annual summary report with recommendations.
8. Quotation Requirements
Interested service providers must submit the following:
1. Company profile and proof of registration.
2. Proof of technician qualifications and registrations.
3. Methodology and proposed service plan.
4. List of equipment and chemicals to be used.
5. References of at least three (3) similar contracts, preferably in schools or institutions.
6. Pricing schedule (monthly cost, call-out rates, and annual contract cost).
9. Evaluation Criteria
Quotations will be evaluated on:
- Compliance with specification
- Experience and qualifications
- Safety and environmental compliance
- Price competitiveness
- References and track record
